👋 Set up a Welcome Email

Create an email to welcome fans into your world

Written by Harry Drake

A welcome email confirms to every new fan that their signup worked, trains their inbox to deliver your emails to the primary folder, and sets the tone for the relationship from day one. Without one, fans can forget they signed up, and your next broadcast triggers unsubscribes.

⚪ Note: Fan HQ now has a built-in welcome email. Configure it under Fan HQ > Account Emails > Welcome.

It supports Posts blocks, including Fan Pass, and sends whenever a fan completes a join block on Fan HQ or a Landing Page 2.0. See Welcome Email for the full walkthrough. Use the automation in this article to build a welcome series with delayed sends, or to welcome fans who join through other routes.

What to include

A welcome email should do at least one of the following:

  • Welcome and thank the fan for joining

  • Outline what joining means for them - presale access, exclusive merch, giveaways, behind-the-scenes content

  • Tell them what is coming up in your world

  • Link to your Fan HQ, merch store, or a current campaign

🟢 Top tip: Always include a call to action. Without one, unsubscribing is the only action a fan can take. A link to your merch store or a long-running “where should we play?” Landing Page works well.

How it works

Automations fire when a trigger condition is met. The welcome email automation uses the welcome tag as its trigger. Openstage assigns this tag automatically to every fan who signs up for the first time, so once the automation is active, every new signup receives the email.

Create a Welcome Email

  1. Navigate to Message > Automations.

  2. Click + New Automation

  3. Set the trigger to Gets a tag, enter welcome, and choose Email as the channel.

  4. Design your welcome email.

  5. Set a start date and time for the automation.

  6. Click Activate.

Build a Welcome series

A single welcome email is a strong start. A series goes further. Create multiple automations on the welcome trigger with delayed send times to deepen fan engagement over the first few days.

An example series:

  • Day 1 - Thank the fan for joining and introduce what being part of your world means.

  • Day 2 - Ask fans to connect their DSP and drop a playlist in their library to say thank you.

  • Day 4 - Offer a store discount or access to an exclusive item as a reward for joining.

🟢 Top tip: Give each email in the series one focused call to action, and keep every step short and purposeful.
