Your Welcome Email is sent automatically to every new fan shortly after they join your world. It is one of the most important emails you send - it sets the tone for the relationship, confirms membership, and gets fans to take their first steps deeper into your world.
⚪ Note: Welcome emails are part of the Fan HQ onboarding flow. See Onboard Your Fans for the recommended setup guide.
Customize Your Welcome Email
Navigate to Fan HQ > Account Emails > Welcome.
Toggle the Welcome Email on or off using the switch at the top of the panel.
⚪ Note: Welcome emails are sent 15 minutes after a fan completes a join block on Fan HQ or a Landing Page 2.0. If a fan missed their verification email and clicks through to Fan HQ from their Welcome Email instead, that click counts as email verification.
Inbox settings
Configure how the email appears in fans’ inboxes:
Subject - for example, “Welcome to The Zeros Club”
Preview text - the short line fans see before opening - for example, “You’re in. Your Fan Pass is ready.”
Email content
The Welcome Email comes pre-populated with suggested blocks depending on how you access it. All blocks are fully editable.
⚪ Note: The Welcome Email design uses the colors and fonts from your Brand Kit and the header from your Fan HQ homepage. To change the overall styling, update your Brand Kit or Fan HQ header under Fan HQ > Design.
Setting up the Welcome Email from Fan HQ
If you navigate directly to Fan HQ > Account Emails > Welcome, the email is pre-populated with:
Header - your artist or fan club name and profile image, pulled from Artist Settings
Text block - a welcome message personalizing the email using the First name merge tag, with a link to your Fan HQ
Text block - prompting fans to complete their profile
Button block - a “Complete your profile” CTA linking to hq.fan/account
🟢 Top tip: You can personalize your Welcome Email using First name, Last name, and Membership tier merge tags to make every fan’s first email feel like it was written for them. See here for more information on Memberships.
Setting up via Fan Pass sharing options
If your Fan Pass is published and you click Open welcome email from the Fan Pass sharing options, the email is pre-populated with all of the above, plus:
Fan Pass block - fans see their Fan Pass and can add it to Apple or Google Wallet directly from the email. Configure the layout as Pass and wallet buttons or Wallet buttons only
Text block - explaining what the Fan Pass is and why fans should save it to their wallet
Click + Add Block to add further content to the email. For more block types, see here.
🟢 Top tip: Use the preview panel on the right to toggle between desktop and mobile views and check how the email renders before saving.
Send a Test
Send a test email to yourself using the Test section at the bottom of the editor. Enter your email address and click Send.
Save and publish
Click Save when you are happy with your Welcome Email. Changes go live immediately for all new fans who join after saving & publishing.
